The short version
- We only use what you share to design your free concept, talk with you about it, and (if you become a client) build and run your marketing.
- We never sell your information or your business documents, and we never share them with anyone except the services we use to run Arcadia (listed below).
- Your photos, logo and documents are stored privately and are never published without your permission.

Who we are
Arcadia Design Solutions LLC (“Arcadia,” “we,” “us”) is a website design and marketing company for local businesses, based in Florida. This policy covers arcadiads.com and the information you share with us through it, including our contact form, website questionnaire, file uploads and chat assistant.
What we collect
- Contact details: your name, business name, type of business, city, email and phone.
- Business details: your current website, social media pages, Google Business listing, and your answers to our website questionnaire (services, customers, style, goals and similar).
- Files you upload: your logo, photos and any business documents you choose to share, such as service menus, pricing, warranties or policies.
- Messages: anything you write in the form, in emails to us, or in our website chat assistant.
- Basic technical data: like most websites, our hosting provider automatically records standard information such as your IP address, browser type and pages visited, for security and reliability. We don’t use advertising trackers on this site.
We also save your questionnaire progress in your own browser, so you can pick up where you left off. That stays on your device and you can clear it anytime by clearing your browser data.
How we use it
- To design your free website concept and prepare for our call with you.
- To reply to you, including a confirmation email and, if you start a request but don’t finish it, one reminder email.
- If you become a client: to build, host and maintain your website and run the marketing services in your plan.
- To send occasional website and marketing tips, only if you checked the box to receive them. Every email includes a way to stop.
- To protect our site from spam and abuse.
Using AI tools to help design your concept
We use AI design tools (including Anthropic’s Claude) to help turn your answers, photos and documents into a first draft of your concept. These tools work on our behalf to design for you; they don’t make your information public. A real person (Devon) reviews every concept before you see it. If you’d rather we not use AI tools with your information, tell us and we’ll design your concept by hand.
Who we share it with
We never sell or rent your information. We only share it with the service providers we use to run Arcadia, and only as needed to do the work:
- Google (Gmail, Google Drive, Google Sheets): where we receive requests and store your answers and files.
- Web3Forms: delivers your form submission to our inbox.
- Cloudflare: hosts our website.
- Anthropic: AI tools that help design concepts and power our chat assistant.
We may also share information if the law requires it, or to protect our rights or someone’s safety.
Your files and business documents
Files you upload are stored in a private Google Drive folder that only Arcadia can access. We use them only to design your concept and, if you become a client, your website. We will never publish your photos, logo, prices or documents on any website, including yours, without your approval, and we never use your materials in our own marketing or portfolio without your written permission.
How long we keep it
If you don’t become a client, we keep your request and files for up to 12 months so we can follow up, then delete them. If you become a client, we keep your information for as long as we work together and as required for our business records. You can ask us to delete your information sooner at any time.
Your choices
- See, correct or delete the information we have about you: email Devon@ArcadiaDS.com and we’ll respond within 30 days.
- Stop marketing emails anytime by replying “unsubscribe” or using the link in the email.
- Share only what you’re comfortable with. The website questionnaire is optional, many questions can be skipped, and uploads are always optional.
Security
We use reputable providers with strong security, keep access limited to Arcadia, and never ask for passwords by email or text. No system is perfectly secure, so please don’t upload anything you consider highly sensitive, such as financial account numbers, Social Security numbers or customer personal data.
Children
Our services are for businesses. We don’t knowingly collect information from anyone under 16.
Changes to this policy
If we make important changes, we’ll update the date at the top of this page. If you’re a client, we’ll also let you know by email.
